Company part mappings

Content owner: Quote Control product. Last reviewed: 20 September 2026.

Administrators use Administration → Company part mappings to record a verified relationship between a source product and a proposed replacement. These records help later preparers find prior company decisions. They do not certify a technical design or establish current stock or price.

After applying reviewed parts evidence to a quotation, an Administrator can choose Save company mapping. The form starts with public product facts from that selection. You can also create a record from the administration page.

  1. Check the source and replacement manufacturer, model or part number, variant and compatibility specifications. Use public product identifiers only.
  2. Record the conditions that must apply and any required accessories. Add the relevant public documents and their applicable variants or revisions.
  3. Optionally link an active material rate whose approved public product facts match the replacement.
  4. Enter the date of human verification. Confirm that you have verified the relationship and that every saved fact is public, then save the mapping.

Do not enter customer or site details, asset references, serial numbers, private report excerpts, credentials or supplier prices. A mapping can contain up to 20 conditions, 10 accessories and 10 public documents. Saving the quotation or applying research evidence never saves a company mapping automatically.

Where optional parts research is enabled, exact active mappings appear before ordinary research candidates. Matching includes the recorded variant and specifications. Similar wording does not establish a match.

Review the original verification date, conditions, accessories and documents for the current work. The suggestion remains unverified for this quotation until you review it. Preview application shows the current target and requires an explicit Apply. Quantities, costs and mark-up stay as saved unless you choose a specific reviewed change. Any catalogue cost shown is the current controlled rate, not a fresh supplier quotation.

Only a bounded set of matches appears in research. If the list says it is truncated, review the full company list with an Administrator.

Administrators can edit a mapping or deactivate it when it should no longer be suggested. If someone changed it after you opened the form, reload the current record before saving again. Editing an inactive mapping leaves it inactive.

A changed mapping or an inactive or mismatched linked rate blocks a pending application. Prepare a new research run to review current suggestions. Already accepted quotation evidence keeps its original facts and date.

Mappings belong to the company catalogue and survive deletion of the quotation or report from which they were prepared. They are included in company export. Deactivation stops reuse; it does not erase the record or past quotation evidence.
