Your first quotation
Start a quotation from the dashboard. Quote Control allocates the next available company quotation number. The Detail step records the date raised and can hold an optional external quotation reference for cross-checking another system. Administrators maintain the available customers, sites and work types under Administration. When a genuine new customer or site is discovered during quotation entry, choose the explicit Create and save option to make it reusable. One-off snapshot text remains available for exceptions and does not change master data.
- Complete Detail. Select an active customer and site, confirm the address and work type, and add the external quotation reference when one exists.
- Prepare Scope of works. Preserve the engineer recommendations, write or review the customer-facing scope, then use asset preparation to track separate repairs and costs. Set the part quantity in the asset task and use Add to customer scope when its reviewed repair wording belongs in the customer document.
- Build Pricing. Add material, labour or custom lines. Check quantity, internal cost, mark-up, unit selling price, selling total and margin.
- Resolve Caveats. Include every caveat triggered by the quotation and amend the allowed customer wording when required.
- Add Notes. Record internal notes as timestamped entries. They remain inside Quote Control and do not appear on the customer PDF.
- Review. Resolve blocking preparation findings and check the totals and customer wording.
- Submit. Quote Control uses the company controls that are active at that moment. Higher-value work enters the independent approval queue.
- Issue. Once approved, generate the controlled PDF. The revision’s customer validity period starts at issue.
Selecting a reusable site can require company-approved wording configured by an administrator. The requirement appears in Caveats and follows the same explicit include-and-accept control as every other required caveat. Typing a one-off site with the same name does not trigger a reusable-site rule.
Before submission
Section titled “Before submission”A quotation needs a customer, site, address, structured work type, customer-facing scope and a positive value before contingency. Labour and other selling values need their corresponding internal costs. If a genuine labour cost is unknown, record it as Not recorded and supply the cost before submission.
Continue later
Section titled “Continue later”Use Save draft at any point. A draft stays editable by its owner and company administrators. A checker can review submitted work but cannot change the estimator’s quotation.
Reuse or revise completed work
Section titled “Reuse or revise completed work”Create a revision when the customer asks for changes to the same quotation. Duplicate a quotation when you want its scope and pricing as the starting point for separate work. A duplicate receives a new quotation number and remains fully editable, including its customer, site and address.
