Use Administration → Team to manage known company users. Public registration is not available.
Choose a role
Section titled “Choose a role”| Role | Use it when the person needs to |
|---|---|
| Estimator | Prepare and manage owned quotations and owned order handovers |
| Checker | Independently review eligible submissions and give template-permitted handover sign-offs |
| Administrator | Manage company-wide work, users and Administration settings |
Assign the narrowest role that matches the person’s responsibility. The server enforces role and workflow authority even when a user knows a protected URL. Read the complete role and visibility matrix before assigning access. In particular, Administrators cannot approve a revision they own or have contributed to, or inspect another user’s private Project research, and a Checker does not receive general quotation editing or Administration access.
Create and activate
Section titled “Create and activate”- Enter the person’s name, email address and role.
- Create the account.
- Copy the generated temporary password before closing the single-display dialog and transfer it through an approved private channel.
- The recipient signs in and replaces that password before using the workspace.
Create and reset controls stay busy while the request is pending. After success, store the temporary password privately and acknowledge it, or explicitly discard it. A cancelled close or navigation keeps the credential available; copying it alone does not acknowledge it.
Use Reset access if a temporary password is lost or an active user needs a new credential. The operation revokes existing sessions and shows a new temporary password once. Administrators must use Change password for their own account.
Change access
Section titled “Change access”An administrator can change a role, revoke active sessions, deactivate an account or reactivate it later. Deactivation immediately prevents authenticated access and revokes current sessions; it does not rewrite historical actions.
After changing the currently signed-in member’s role or access, Quote Control rechecks the application session before showing Administration again. A failed recheck keeps the protected area closed and offers recovery; it does not rely on stale cached administrator authority.
Before deactivating a member or changing an Estimator or Administrator to a Checker, review the confirmation dialog. Open quotations and active handovers must be transferred first. If the preview fails, choose Retry work preview; you cannot confirm until the current counts are available.
If the member has unfinished report imports from an enabled report-import pilot, the dialog also shows their count. These reports stay with that member during a work transfer. An Administrator must resume, convert or discard them through the report-import workspace while the feature is enabled. Processing must finish before a report can be discarded. Confirming the account change acknowledges these retained reports; it does not transfer or delete them. Use the Report owner filter in the import list to find an inactive member’s reports.
Quote Control prevents deactivation or demotion of the final active administrator. Create and verify another administrator first.
Transfer open work
Section titled “Transfer open work”Choose Transfer work for the member. Select the open quotations and active handovers to move, then choose another active Estimator or Administrator. Review the named records and their consequences before confirming. You can also transfer an individual quotation from its workspace. Each transfer supports up to 100 selected records.
Awaiting quotations return to Checks required for a new submission. Approved, unissued quotations start a new Draft revision and retain their approved snapshot. Issued quotations and completed handovers are excluded. If the selected work changes, refresh the preview before confirming again.
Retain the prior owner as a collaborator where eligible is off by default. Select it only when the prior owner is an active Estimator who should continue preparing those quotations. Their past contribution remains recorded either way. Unfinished engineer’s reports remain with the original member; acknowledge the current count and arrange recovery separately.
Share quotation preparation
Section titled “Share quotation preparation”When collaboration is available, select the quotation’s participant avatars, labelled People, to add or remove active Estimators. The owner and Administrators can manage up to 20 collaborators. Collaborators can prepare editable content, add notes and upload supporting evidence. The owner and Administrators retain workflow controls such as submission, issue, revisions and deletion.
A collaboration grant does not give access to a linked handover or the original report import. Deactivation or a change away from the Estimator role removes the grant. Reactivation does not add it back. People who change controlled content remain contributors and cannot later independently approve that quotation.
Password recovery email is optional. When it is not configured, account creation, first sign-in and administrator-led access reset continue to work normally.
Effect on existing work
Section titled “Effect on existing work”Team changes take effect through the server and do not publish a policy or control version. Resetting access or deactivating an account revokes its current sessions. Historical actions continue to show the original actor.
Changing a role changes future authority; it does not rewrite earlier approval or audit events. Use Transfer work before deactivating an estimator when their open quotations or active handovers need a new owner.
