Find, reuse and close quotations

Open Quotes in the navigation to find the quotation register. It initially opens in the Active view. Use the view selector to show Won, Lost, Closed, Archived or All quotations instead. The workflow status filter and column sorting work alongside the selected view.

Search can match the QC quotation number, configured external reference, customer, site, linked customer PO, customer-facing line descriptions and asset labels. Internal notes, engineer notes, costs, margins and approval comments are not search targets.

Quote Control remembers your selected view, status and sorting in your browser. These preferences are tied to your signed-in user. Search text stays only in the current signed-in session and clears on reload.

When the search, view or status narrows the register, choose Clear filters to return to Active, show all workflow statuses and remove the current search. Your chosen sort order is preserved. The action remains available when the filters produce no matching quotations.

Dashboard keeps your workload counts and quick creation actions. Its workload shortcuts open Quotes with the matching status and a Non-archived filter, clearing search and keeping your sort order. View all quotations opens all records and clears the view, status, search and non-archived filters while keeping sorting.

Open a quotation from the register, then choose Back to quotations to return with your filters and position retained in this signed-in session. Browser Back also returns to the register; browser Forward can reopen the editor. Reloading clears search and return position while keeping your saved view, status and sorting.

Estimators and administrators can choose New quotation from Quotes or Dashboard. Where enabled for their account, Create from engineer’s report is available alongside it. Checkers can browse quotations but do not have these creation actions.

An issued quotation remains Issued even after you record its commercial outcome. This keeps the controlled workflow status separate from what happened commercially.

From the quotation actions menu, the quotation owner or an administrator can mark an issued quotation:

  • Won when the customer accepts the work.
  • Lost when the work is not accepted.
  • Closed when no further commercial action is expected.

Lost and closed quotations can include a short internal reason. Recording a customer order from a QC quotation marks that quotation won automatically.

Choose Reopen to clear the commercial outcome. Reopening does not make the issued revision editable and does not change its retained PDF.

Only won, lost or closed quotations can be archived. Archiving removes the quotation from the Active view, dashboard counts and Timeline. It does not delete the quotation, revisions, PDFs, supporting documents, notes, approvals, orders or History.

Use the Archived view to find the quotation. Choose Restore quotation to return it to its outcome view.

Use a revision when the customer wants the same quotation changed. Use a duplicate when an existing quotation is a useful starting point for separate work.

New revision Duplicate quotation
Keeps the same QC quotation number. Receives the next QC quotation number.
Increases the revision number. Starts at Revision 1.
Preserves the earlier revision, approval events and PDF in the same History. Starts a separate History with no copied approvals or PDFs.
Keeps the quotation’s customer, site and external reference. Copies draft values but clears the external reference.
Use when the customer requests changes to that quotation. Use for repeat work, another site or a similar quotation.

Creating a new revision resets a terminal outcome to open and restores an archived quotation. The earlier issued revision remains unchanged.

Estimators and administrators can duplicate a quotation they are allowed to read:

  1. Open the source quotation.
  2. Open the quotation actions menu.
  3. Choose Duplicate quotation.
  4. Review what will be copied and reset.
  5. Choose Create duplicate.

The new draft copies the current customer, site, address, engineer notes, customer-facing scope, asset preparation, pricing and selected caveats. You can change all of those values before submission, including the customer, site and address. Editing the duplicate does not change the source quotation.

The duplicate deliberately starts without an external reference, validity period, outcome, archive state, approvals, supporting documents, internal notes, linked order, earlier revisions or previous audit history.

Choose a dashboard workload shortcut to show its matching non-archived quotations. The shortcut clears search, keeps sorting and displays its status and non-archived filters. Clear filters restores the ordinary Active view.

Opening a quotation and returning keeps your register search and position during this signed-in session. Reloading or signing out clears this temporary context. View, status and sorting keep their existing browser preference lifetime.

Quotation links open the current quotation after sign-in, subject to your permissions. They do not pin a historical revision. Use Copy link, bookmarks or a new tab to return to the record. Browser Back and Forward preserve the unsaved-change warning.

Orders keeps its search and status filter when you leave and return during the signed-in session. Timeline keeps its search, lifecycle, Include completed and Show other users choices. Reloading or signing out clears these temporary filters. The choices do not expand your quotation access.
