Company settings

Company administrators manage bounded settings under Administration → Company. These settings tailor one isolated deployment without weakening security or approval authority.

  1. Under Company identity, enter the display and legal names, company and VAT numbers, contact details and postal address.
  2. Choose Save company profile.
  3. Use Upload logo, Replace logo or Remove logo to maintain the customer-document logo separately.

The display name is required. Other identity fields can remain empty when they do not apply to the company.

Setting Effect
Business timezone Controls business-date calculations and the timezone used for displayed audit events.
Validity and Unit Set the customer-validity period from the issued date in days or months.
Expiry warning days Sets when the Timeline identifies a quotation approaching expiry.
Quotation visibility Uses Shared company visibility or Owner-only estimator visibility. Administrators retain company oversight.
Use an external quotation reference Adds the configured external-reference field to quotation preparation and customer PDFs.
External reference label Replaces the generic external-reference label with the company’s approved term.
Normal hours label and Out-of-hours label Names the two working-hours categories used by labour rates.
Available modules Enables or disables Timeline, Orders and Knowledge in navigation and at the server boundary.
Terminology glossary Supplies optional term = preferred wording mappings below Quote Control’s scope-suggestion safety rules.
  1. Review every section under Company settings.
  2. Enter one terminology mapping per line only when the company has an approved preferred term.
  3. Confirm the quotation-visibility and module choices with the company owner.
  4. Choose Publish settings version n.

If Quote Control reports that the current settings changed, choose Reload current settings, compare the newer values and then make a new decision.

Before the first quotation, set:

  • Prefix, such as a company-approved quotation prefix or an empty value;
  • Padding, which controls leading zeroes;
  • Starting sequence;
  • Reset cadence of annual or never; and
  • Reuse deleted unissued draft numbers.

Numbering locks after the first quotation. Structural changes then require a reviewed migration so existing customer documents and references remain coherent.

Shared visibility lets authenticated users see the company quotation portfolio, subject to their workflow authority. Owner-only restricts estimator views to their own work while administrators retain company oversight. Neither setting grants editing authority. Disabled modules disappear from navigation and are also blocked by the server. Turning a module off does not delete its data.

Manage company classifications and customer wording separately under Work types and caveats.

Saving the company profile changes the identity used by future quotation PDFs. Existing issued PDFs remain unchanged.

Publishing operational preferences creates a new policy version. Draft work uses the active version, while an already submitted revision retains the version it was reviewed against. A later quotation revision uses the newly active policy.

Disabling a module removes it from navigation and blocks it on the server; it does not delete existing module data. Changing visibility changes who can view current company work, subject to role and workflow authority.
